यह पत्र लेखन की एक सुविधाजनक पद्धति है। इसका उपयोग सभी अवसरों पर किया जा सकता है। पाने वाला संदेश को तुरंत ही प्राप्त कर लेता है। इसमें हम न केवल संदेश भेज सकते हैं अपितु कोई document, video, photo या अन्य किसी भी सामग्री को किसी भी format में तुरन्त भेज सकते हैं। पहले इस प्रकार से file transfer की एक limit होती थी लेकिन आज ज्यादा बड़ी file भी transfer कर सकते हैं।
ई-मेल शब्द इलेक्ट्रोनिक मेल का संक्षिप्त रूप है जिसको एक्सप्लोरर, फायर फ़ॉक्स, गूगल क्रोम इत्यादि का उपयोग कर एक कम्यूटर से दूसरे कम्य्यूटर तक आसानी से भेज सकते हैं। इसको भेजने के लिए आपको व पाने वाले को एक पते की आवश्यकता होती है। ये पते हमारे परम्परागत समाचार भेजने के पतों से भिन्न होते हैं। इन पतों को e-mail id के नाम से जाना जाता है।

यह e-mail id आप yahoo, gmail, rediff-mail इत्यादि पर मुफ्त में ही बना सकते हैं। यदि आप gmail पर अपनी id बनाते हैं तो वह इस प्रकार से होगी- [email protected], [email protected]

किसी भी व्यक्ति का पता लिखते संमय बहुत ही सावधानी बरतनी चाहिये। यदि आप थोड़ी-सी भी गलती कर देते हैं तो आपका e-mail प्राप्त करने वाले तक नहीं पहुँचेगा। यदि आप yahoo पर id बनाकर e-mail भेजना चाहते हैं तो e-mail compose करने के लिए इस प्रकार की window आपके सामने खुलेगी-

इसमें दिये विभिन्न शब्दों के अर्थ इस प्रकार से हैं-

1. To वाला box – यहाँ पर उस व्यक्ति का पता लिखा जाता है जिस व्यक्ति को आप अपना e-mail भेजना चाहते हो।

2. Cc एवं Bcc वाले boxes – यदि आपको अपनी mail Carbon Copy बनानी है अर्थात् हम एक ही e-mail अन्य को भी भेजना चाहते हैं तो हम पाने वाले की e-mail id उक्त कॉलम में लिखेंगे। इसी प्रकार से द्वितीय कार्बन प्रति भेजने के लिए हम Bcc के सम्मुख प्राप्तकर्ता की e-mail id लिखेंगे।

3. Subject वाला box – एक e-mail तभी send किया जा सकेगा जब आप उसमें विषय लिखेंगे। प्राप्तकर्त्ता को आपके द्वारा भेजे गये e-mail का subject व आपकी e-mail id ही सबसे पहले mail box की सूची में दिखेंगी। mail को खोलने पर पूरा संदेश पढ़ा जा सकता है, अतः विषय ध्यान आकर्षित करने वाला होना चाहिये। प्राप्तकर्त्ता को ढेर सारे spam mail प्राप्त होते हैं और यदि आपका subject ध्यान आकर्षित करने में असफल रहता है तो प्राप्तकर्त्ता आपके mail को नहीं पढ़ेगा।

प्राप्तकर्ता को सम्बोधन या अभिवादन – पत्र की तरह से e-mail में सम्बोधन आवश्यक नहीं होता है। लेकिन यदि आप ऐसे व्यक्ति को संदेश भेज रहे हैं जिसके बारे में आप सोचते हैं कि वह उच्च पद वाला व्यक्ति है और आप उसका नाम जानते हैं तो आप उसके नाम के साथ Dear Mr Gupta इत्यादि का प्रयोग कर सकते हैं। यदि आप किसी व्यक्ति को उसके कार्यालयी पद के तहत e-mail भेज रहे हैं तो Dear Sir या Dear Madam आदि शब्दों का प्रयोग कर सकते हैं।

भाषा और शैली – आपके e-mail की भाषा व शैली प्राप्तकर्त्ता पर आपके व्यक्तित्व की छाप छोड़ेगी। फिर भी हमें निम्नलिखित बातों को ध्यान में रखना चाहिये-

• औपचारिक e-mail में भाषा उसी के अनुरूप होनी चाहिये।
• शब्दों के संक्षिप्त रूप और दोस्तों के बीच e-mail में प्रयुक्त की जाने वाली अनौपचारिक भाषा का प्रयोग करने से बचें।
• लोग कम्प्यूटर स्क्रीन पर लम्बे संदेशों को पढ़ना पसन्द नहीं करते हैं, अतः अपने संदेशों को जितना हो सके उतना छोटा करें और संक्षिप्त (छोटे) गद्यांशों का प्रयोग करें।
• प्रत्येक गद्यांश को उपयोगी जानकारी देने वाला व स्वयं में पूर्ण बनायें।
• आवश्यकता से अधिक pronouns का प्रयोग करने से बचें ।
• अपनी Grammar तथा spellings को check करें। यह मानकर नहीं चलें कि e-mail में भाषा की शुद्धि का महत्व नहीं होता है।
• कभी भी e-mail को पूरी तरह से Capital Letters का प्रयोग करके न भेजें। ऐसा करना चिल्लाने के समान माना जायेगा।
• e-mail पर भेजने की दिनांक लिखने की आवश्यकता नहीं है क्योंकि प्राप्तकर्त्ता के mail box में दिनांक व समय स्वतः ही प्रदर्शित हो जाते हैं।

परीक्षा में आपको नीचे दिए गए उदाहरणानुसार box बनाकर mail लिखना है। प्रश्न में प्राप्तकर्त्ता का पता दिया भी हो सकता है और नहीं भी हो सकता है। यदि पाने वाले की e-mail id न दी हो तो हमें अपनी ओर से ही लिखनी होगी। आपके कोर्स में e-mail-formal letters to the principal of the school or to the editor of a Newspaper or a magazine हैं। हम यहाँ पर आपकी सुविधा के लिए कुछ e-mail दे रहे हैं जिनका आप भली भाँति अध्ययन करें।
